Alumni Council Roles & Responsibilities

A member of the Alumni Council is elected to hold the position based on demonstrated involvement, support and commitment to Johnson & Wales University.  In accepting the two-year appointment, an individual agrees to fulfill the responsibilities associated with Alumni Council membership.  This includes, but is not limited to:

• Attending and participating in all scheduled conference calls and semiannual meetings. Conference calls are held monthly and meetings are held two times each year (fall and spring).
• Serving actively on committees and task forces as assigned.

• Becoming a representative and spokesperson in your community for Johnson & Wales University and the Alumni Association.  This should involve attending local chapter activities, talking to prospective students, meeting with other alumni or with representatives of the University traveling to your area, and more.

• Seeking out and encouraging talented alumni for the Executive Committee, other alumni activities (both on and off campus) and alumni awards

• Being familiar with the programs and activities sponsored, organized and coordinated by the Alumni Association and participating in them to the extent possible, including major campus events.

• Offering ideas to help make the Alumni Council and the Alumni Association more meaningful to alumni constituency and initiating Council activities and projects.

• Being an ambassador, publicist, and advocate of the Alumni Association and of Johnson & Wales University.

President

• Serves as the executive officer of the Alumni Council and presides at each meeting of the Alumni Council and the Alumni Council Executive Committee

• Participates in monthly conference calls of the Executive Committee

• Attends at least one Annual Meeting per year

• Serves as the primary link between the Alumni Council and the University
• In cooperation with the executive director of Alumni Relations, sets the agenda for meetings of the Executive Committee and Alumni Council

Past President

• Serves as a member of the Alumni Council Executive Committee

• Participates in monthly conference calls of the Executive Committee

• Serves as Chairman of the Nominating Committee, and as such, is responsible for soliciting candidates, creating a slate of officers for election, and assists with the marketing to ensure alumni involvement in the voting process

• Attends at least one Annual Meeting per year

• Serves as chief advisor to the President

• Performs other duties as assigned by the President

Vice President

• Serves as the executive officer of the Alumni Council and presides at each meeting of the Alumni Council and the Alumni Council Executive Committee in the absence of the President

• Participates in monthly conference calls of the Executive Committee

• Attends at least one Annual Meeting per year

• Serves as the Chairman of the Planning and Bylaws Committee

• Serves as an ex-officio member of all Council committees

• Performs other duties as assigned by the President

Chair, Communications Committee

• Serves as a member of the Alumni Council Executive Committee

• Participates in monthly conference calls of the Executive Committee

• Attends at least one Annual Meeting per year

• Serves on the J&W Magazine Editorial Board

• Critiques and contributes to the development of the annual alumni communication plan

• Critiques, proposes, and contributes content for the alumni website on a continuous basis

• Critiques and contributes to various alumni communication tools, both print and e-mail

Chair, Events Committee

• Serves as a member of the Alumni Council Executive Committee

• Participates in monthly conference calls of the Executive Committee

• Attends at least one Annual Meeting per year

• Critiques events proposed by the Office of Alumni Relations

• Proposes events to the Office of Alumni Relations

• Promotes alumni events

• Participates in alumni events
• Evaluates alumni events

Chair, Programs Committee

• Serves as a member of the Alumni Council Executive Committee

• Participates in monthly conference calls of the Executive Committee

• Attends at least one Annual Meeting per year

• Critiques programs proposed by the Office of Alumni Relations

• Proposes programs to the Office of Alumni Relations

• Promotes alumni programs

• Participates in alumni Programs

• Evaluates alumni programs

Chair, Advancement Committee

• Serves as a member of the Alumni Council Executive Committee

• Participates in monthly conference calls of the Executive Committee

• Attends at least one Annual Meeting per year

• Works with the Advancement Office to identify potential alumni leads

• Works with the Advancement Office to identify potential industry leads

• Chairs Alumni Council Scholarship Committee

International Representative

• Represents the interests of the international population to the Council and the Association

• Attends at least one Annual Meeting per year

• Critiques events and programs proposed by University Alumni Relations Office that are designed to engage international alumni and enhance the global alumni network

• Proposes events to University Alumni Relations Office

• Serves on the committee with the campus representatives to promote the best practices of the council to our international alumni

Graduate School Representative

• Represents the interests of the graduate school population to the Council and the Association

• Attends at least one Annual Meeting per year

• Critiques events and programs proposed by University Alumni Relations Office that are designed to engage graduate school alumni

• Proposes events to University Alumni Relations Office

• Serves on the committee with the campus representatives to promote the best practices of the council to our graduate school alumni

Campus Representatives (6)

• Serves as a link between their respective campus and the Alumni Community, while working with the Alumni Relations Manager and the Deans of the various Departments to promote the visibility of the J&W Alumni Association to the Alumni of each campus and the current students.

• Attends at least one Annual Meeting per year and 4 major events on campus (including Registration, Homecoming/ Family Weekend, and Commencement, along with at least one other major campus event per year)

• Represents the interests of their campus to the Council and the Association

• Critiques events, programs, and services offered at the campus level
• Serves as a committee to share best practices amongst all campuses

Undergraduate Representatives Committee (4)

• Works together as a committee to strengthen the ties between current students and alumni by working closely with the manager of Alumni Relations and the Student Activities directors on all five campuses

• Serves as a link between Alumni and the current student population working with the Deans of the academic departments to promote visibility of the J&W Alumni Association as a whole.

• Critiques, proposes, promotes, and attends on-campus events, programs, and services that are designed to generate school spirit among the student body and provide students with information about the alumni association

• Attends at least one Annual Meeting per year and 4 major events on campus (including Registration, Homecoming/ Family Weekend, and Commencement, along with at least one other major campus event per year)

• Participate in at least 2 Alumni Contributing Excellence Programs on Campus throughout the school year.

University Staff

Board of Trustees Representative to the Alumni Council

• Serves as the Board of Trustees' link to the Alumni Council and Executive Committee
• Attends all meetings of the Alumni Council and the Executive Committee in order to be aware of the interests of the Alumni
• Is responsible for representing the interests of the Alumni to the Board of Trustees, as identified by the Alumni Council
• Reports to the Johnson & Wales University Board of Trustees

Senior Vice President of Institutional Advancement

University Representative to the Alumni Council

• Serves as the University’s representative at all meetings of the Council and the Executive Committee
• Presents relevant information to the Council and the Executive Committee regarding overall University activities, involvement, and progress
• Reports to the University President
